Privacy Statement Gem

Gem, the virtual assistant, answers questions about products and services of the municipality of Geldrop-Mierlo. This does not require any personal data from you. It may be that you do share something personal. In this privacy statement we explain what happens then.

Target

We save the content of the chat conversation to improve the virtual municipality assistant. This will allow Gem to better serve you and other residents in the future.

Legal reason

We only process personal data if we have a legal reason to do so. For Gem, the reason is to carry out the legal duty of municipalities to provide residents with information.

What data do we process?

Gem does not need to know anything about you; however, you may still share personal data. Personal data is information that can be traced back to you as a person. That's your name or address, for example. To improve Gem, we investigate conversations. In doing so, we delete any personal data we encounter in the conversation. Your IP address is anonymous by default. We also process points of improvement that you leave behind in the chat.

Automatic decision-making

We use words someone types in only to improve Gem. We do not use it to make suggestions of text to anyone else.
We also do not create or build user profiles of conversations that have gone before (profiling AVG).

Location

We process data within the Netherlands and do not transfer it outside the European Union or to international organizations.

Retention period

We delete any personal data within 28 days. Chat conversations and points of improvement we keep for up to 28 days. We use these for training purposes. After that, we delete them. We delete anonymous IP addresses after 14 days.

Your rights if you have shared personal data with Gem

  • Right of access: you have the right to view the personal data you have shared with Gem.
  • Right to rectification: you have the right to add to, correct, delete or block personal data if you wish.
  • Right to object: you can object to data processing. You can also file a complaint with the Personal Data Authority. However, we would appreciate it if you first send the complaint to the Data Protection Officer.

Have we already deleted the personal data you shared with Gem? And we can no longer see that it is your data? Then the above rights no longer apply.

The following parties have access to Gem's conversations:

  • Employees of the municipality of Geldrop-Mierlo on the virtual municipality assistant management team
  • Technical staff in the national virtual municipality assistant management team
