Organize event, apply for permit

What is it?

If you want to organize an event, always notify the municipality. In many cases, you will need a permit. This applies, for example, to a fair, carnival, parade or festival. For small events, such as a street party or a neighborhood barbecue, notifying the municipality is often enough. If you are in doubt as to whether you need a permit or whether a notification is sufficient, contact the Client Advisor Permits APV/Special Legislation. You can do this by calling the general number of the municipality, 040 289 38 93 and asking for the Client Advisor Permits. Or send an e-mail with your question to gemeente@geldrop-mierlo.nl. 

In determining whether an event requires a permit, the Customer Advisor Licenses uses the following indicators as guidelines:

  • more than 150 people present (excluding regular sporting events);
  • end time event on Sunday through Thursday after 11:30 p.m. and on Friday, Saturday and day preceding a legally recognized holiday after 1 a.m;
  • significant noise production (e.g., broadcasting activities or amplified music);
  • parking inconvenience to be expected;
  • traffic congestion to be expected;
  • Placement of objects with an area of more than 25 m2;
  • any form of nuisance to the living environment to be expected;
  • an opportunity for unsafe situations.

What to do.

  • Apply for the permit from the municipality.
  • You should do this at least 8 weeks in advance.
  • When you fill out the application form completely and provide the necessary attachments, we can process your application immediately.

Other permits or waivers

You may need to apply for other permits or waivers. For example, a parking waiver, referral signs or a waiver for serving alcohol. These will come up naturally as you fill out the application form. 

How does it work?

The municipality determines whether you get the permit. You may have to follow certain rules, such as:

  • a maximum number of people;
  • a certain start and end time;
  • No music before or after certain time;
  • No activities on the road or interfering with traffic;
  • do not place large objects.

How long does it take?

You will receive notification from the municipality within 8 weeks whether you will receive the permit and what regulations you must comply with.

Small-scale event

You do not always need a permit to organize small-scale events. This is the case, for example, for street, neighborhood parties and street play days. An event is permit-free provided:

  • Less than 150 people are present;
  • times event on Sunday through Thursday between 07:00 and 23:30 and on Friday, Saturday and day preceding a legally recognized holiday between 07:00 and 01:00;
  • there is limited noise production (less than 85 dB(A) );
  • no parking nuisance is to be expected;
  • no traffic congestion is to be expected;
  • objects with an area of less than 25 m2 are placed;
  • little inconvenience is to be expected;
  • there is no chance of unsafe situations;
  • there is an organizer present, and;
  • the organizer has notified the mayor at least five working days prior to the event.

Notify small-scale event

You will be notified if the municipality wants you to comply with certain rules. You will also be notified if they prohibit your event. You will receive this notice within 5 business days after you file your notification.

What does it cost?

There are costs associated with processing an application for an event permit. These are set annually in the Fees Ordinance. Depending on the size of the event and activities, the costs are €179.40, €360.80 or €5,943.80. There are no costs associated with a notification.
