Secure emailing through ZIVVER

Gemeente Geldrop-Mierlo uses ZIVVER to securely exchange messages and files via email. ZIVVER encrypts messages with sensitive content, such as personal data, financial data or medical data. In addition, it is possible to send large files.

What should I mail safely?

When you send something to the municipality, consider whether it contains sensitive information. Consider documents such as:

  • personal data
  • medical data
  • financial data
  • paychecks
  • legal data
  • contracts
  • policy
  • personnel data
  • decisions
  • attacks
  • passwords

Do I need an account for ZIVVER? 

No, you do not need to create an account when you receive a message from the municipality. If you reply to the mail you receive, the mail will also be returned securely. If you forward a message to your own mailbox and want to forward this message to another person, you will be asked to create an account. This is completely free.

Expiration date / retention period mails and attachments

The mail and attachments sent with ZIVVER are available for six months. So you cannot open the message after six months. This too is due to data security. Do you want to keep the mail or attachment longer? Then we recommend saving the mail and attachments to your computer or printing them. The user manual describes how to do this. A sender may choose to shorten or extend this period. Tip: At the top of your received message, a bar shows until when the message is available.

My email address and/or phone number has changed

It is important that you notify us immediately. This way we can continue to communicate with you safely. Please communicate these changes to your contact at the municipality.

ZIVVER User Guide

ZIVVER requires a bit more steps than the standard mail program you may be used to. Hence, below is more information on how ZIVVER works.

Open ZIVVER message with access code

You have received a message secured by an access code. The person sending you the message has given you the code either in person or by letter in advance.

  1. Open the mail message in your inbox.
  2. Now click the blue "Click for message" button. You will be taken to another page.
  3. Enter the access code you received from the sender.
  4. Click 'Unlock' to open the ZIVVER message. You can now read and respond to the ZIVVER message.

Open ZIVVER message with SMS code

You have received a message that is protected by a text code. Whoever sends you the message wants to make sure that only you read the message. Therefore, you will be sent a code by text message to the mobile number you have previously specified.

  1. Open the mail message in your inbox.
  2. Click on the blue Click for Message button'. You will be taken to another page.
  3. Click "Send SMS" if the visible digits of your mobile number are correct. Is your phone number not correct? Then click on 'Not my number'. The sender will receive a message so he/she can change the phone number. Is your phone number correct? Then you will receive an SMS with a 6-digit code from ZIVVER on your cell phone. The 6-digit code is valid for 5 minutes. Has your code expired? Click 'Send Again' to receive a new code.
  4. Enter the SMS code.
  5. Click on "Read Message. You can read and respond to the ZIVVER message.

Open ZIVVER message with a verification email

  1. Open the mail message in your email inbox.
  2. Click on the "Open" button. You will be taken to another page.
  3. Click on "Send Code. ZIVVER will now send you a verification email with a one-time code.
  4. Return to your e-mail inbox.
  5. Open the verification e-mail you received. The subject of the verification email looks something like this: 'subject of original message' code.
  6. Copy the one-time code mentioned in the verification email.
  7. Go to the ZIVVER verification screen.
  8. Paste the one-time code into the box under "Enter the one-time code.
  9. Click the "Unlock Message" button to open the message. You can now read and reply to the ZIVVER message.

If you want to view a message again later, repeat the procedure as described above.

Replying to ZIVVER message

Would you like to respond to the message? You can do so directly from the secure web page. Do you receive a notification in your e-mail afterwards? Then we have responded to your message again.

You can respond to a ZIVVER message in three different ways. Your response is then securely returned via ZIVVER.

  1. Option 1: Click the "Reply" or "Reply All" button at the top of the toolbar.
  2. Option 2: Or click on the 3 dots at the top right of the toolbar near the message. A selection option now appears. Choose "Reply.
  3. Option 3: Or Click the "Reply" button at the very bottom of your message.

Write your comment and click the white arrow or 'Send' button to the right below your message. An attachment may also be attached if necessary.

ZIVVER message forwarding

Have you received a message through ZIVVER? Then you can easily forward it as well.

  1. To do so, click on the three blue dots in your mail message.
  2. A screen will now appear that says "Forward," "Send a copy to," "Download message," "Print message.
  3. Click on "Forward.
  4. A new screen will now appear with two options.
  • Option 1: The message can be securely forwarded through ZIVVER. Then it is necessary to create your own free account in ZIVVER. To do this, choose the "Sign Up" button.
  • Option 2: Forward the message to your personal email address. Then click on "Send. A copy of the message will then be sent to your mail address. The message is now local to your mailbox allowing you to forward it, print it out, save it or keep it longer if necessary. Note! If you forward the message now, the message is no longer secure because it is sent without ZIVVER.

Save ZIVVER message

A received ZIVVER message from the municipality of Geldrop-Mierlo has a standard retention period of 6 months. You cannot open the message after six months. At the top of the message is the date on which the retention period expires. Do you want to keep the message longer? Then you must save the message. You can do this in three ways:

Option 1. Send a ZIVVER message to your inbox

You can choose to send a separate ZIVVER message to your own e-mail inbox and save the message to your inbox.

  1. Open the ZIVVER message following the steps in the notification email.
  2. In the message you want to save, click on the three dots in the message.
  3. A screen will now appear that says "Forward," "Send a copy to," "Download message," "Print message.
  4. Choose "Send a copy to (own mail address)" to send a copy of the ZIVVER message to your normal e-mail inbox. This option may not be available with some e-mail service providers. A pop-up window will appear stating that a connection security check is being performed. If DANE or TLS security is available, the connection will continue. If a secure connection is possible, a message to that effect is displayed and the Send button is no longer grayed out.
  5. Press "Send.
  6. A copy of the message will be sent to your e-mail address. The copy will be clearly marked as such in the subject line and in the message body.

If the message attachments exceed a certain size, they are deleted and links to the attachments are added to the email copy body.
If it is not possible to safely send a copy of the ZIVVER message to your mail server, you will be prompted to download a copy of your message or print.

Option 2: Download a ZIVVER message

You can also choose to download a separate ZIVVER message so that you can save it. To do so, follow the steps below.

  1. Open the ZIVVER message following the steps in the notification email.
  2. In the message you want to download, click on the three dots in the message.
  3. A screen will now appear that says "Forward," "Send a copy to," "Download message," "Print message.
  4. Choose "Download" to save a copy of the message. When you open this file, in most cases it is automatically saved in your default e-mail program.
  5. In your default e-mail program, choose "File" and "Save As.

Option 3: Save as a .pdf document

A message can also be saved as a .pdf on your computer. This can be done by printing a ZIVVER message.

Print ZIVVER message

You may choose to print a ZIVVER message.

  1. Open the ZIVVER message by following the steps in the notification email.
  2. In the message you want to print, click on the three dots in the message.
  3. A screen will now appear that says "Forward," "Send a copy to," "Download message," "Print message.
  4. Choose "Print message. Your browser's print menu will open.
  5. Under "Destination," choose whether to print the message or save it as a .pdf.
  • If you want to print the message: under 'Destination' choose the printer name on which the message can be printed. Choose 'Print' and your message will be printed.
  • If you want to save the message as .pdf: under destination, choose 'Save as .pfd'. Choose 'Save' and select the folder where you want to save the message.

Expiration date / retention period mails and attachments

The mail and attachments sent with ZIVVER are available for six months. After that, they are withdrawn. Again, this is due to data security. Would you like to keep the mail or attachments longer?
